Position: Director of Family & Men’s Services

Classification: EXEMPT 32 hours per week 

Reports To: Raffa Executive Director


Description:

The Director of Family & Men's Services provides strategic, spiritual, and operational leadership for all client services offered at RAFFA Family Center.  This includes oversight of family support programs, men’s ministry outreach, and internal operational excellence. It encompasses administrative leadership, direct ministry involvement, community outreach, volunteer management, and compliance enforcement.


Qualifications/Background:

  • Minimum of a high school diploma, preferred degree in business or social work
  • Approved DPS, Criminal and CPS background checks
  • At least 1-year experience in related field
  • A minimum of two-year commitment for this position is preferred
  • Have faith in God and have accepted salvation through His son, Jesus Christ; daily living in a relationship with God that would be evident in your life, through word and deed

Physical Requirements:

  • Must be able to lift and carry 40+ pounds up to waist high level
  • Must be able to bend, stoop, crawl, walk, reach, climb on a step stool or ladder, and be able to be sedentary or stand 50% of the time


Duties:


Work in partnership with the Executive Director to set and communicate the vision, mission, and values as it relates to the organization. 


Administrative Oversight:

  • Works in partnership with the Executive Director and other administrative staff in strategic planning, developing objectives, goals and actions plan for Raffa from a client services perspective. This includes communicating financial status and funding needs.
  • Works in partnership with the Executive Director to create an advertising plan for Raffa Family Services programs. 
  • Provide oversight and ensure that all Raffa Family Services staff and volunteers are meeting their job requirements. Provides coaching and support. 
  • Oversees the onboarding and training of new Raffa Family Services staff. 
  • Provides annual reviews of all Raffa Family Services staff and volunteers. 
  • Provides recruitment in partnership with the Executive Director when new client services staff are needed. 
  • Conducts staff meetings, weekly case management meetings, and monthly one-on-ones with staff. 
  • Initiates and implements disciplinary and separation procedures in coordination with the Executive Director.
  • Schedules and administers assigned shifts. 
  • Ensure all facilities interior and exterior environment is clean and inviting to clients, staff, volunteers, and visitors at all times
  • Ensure receipts are given for all material assistance and donations and report these to the Executive Director
  • Oversee receptionist duties and arrange backup within the Raffa Family Services program staff 
  • Ensure reminders are sent for client appointments
  • Ensure intake folders and forms are fully stocked
  • Coordinate facility repairs with Operations Manager and identify budget constraints with the Executive Director
  • Determine Center supply needs and coordinate purchasing with Operations Manager
  • Schedule Class Instructors (staff & volunteers)
  • Prepare and monitor Raffa Family Services budget
  • Oversee the recording and reporting of monthly volunteer hours
  • Develop and maintain a needs list for material assistance donations and community to Executive Director
  • Identify areas of concern in program initiatives
  • Ensure compliance with grant guidelines, reporting metrics, and deadlines
  • Assist in grant reporting to funders by collecting relevant data
  • Oversee  Policy compliance for Raffa Family Services 
  • Oversee Baby Boutique and material assistance stock 


Client Strategies:

  • Be trained, willing, and available to see any client
  • Oversee Raffa Family Services programs and provide training, support, and direction
  • Oversee material assistance distribution to clients
  • Open scheduler appointments for staff and volunteers based on agency goals and client needs
  • Ensure follow-up calls are made for clients
  • Implement strategies to maximize opportunities for client engagement


Men’s Services & Outreach:

  • Train men to serve as advocates and mentor for male clients and provide those services directly if needed 
  • Educate men on parenting, life skills, relationship health, and spiritual growth
  • Provide one-on-one and group mentorship using approved materials
  • Conduct outreach to churches, schools, correctional facilities, and community organizations to recruit and serve men
  • Facilitate pre-marital and fatherhood education (e.g. TwogetherinTexas certification)
  • Develop, coordinate, and teach men’s classes (as needed) on-site and off-site


Staff and Volunteers:

  • Provide staff and volunteer supervision
  • Ensure staff and volunteers are being greeted daily and prayed over
  • Seek opportunities to recruit volunteers in the community
  • Ensure all staff and volunteers reach competency and clearances are completed before working independently
  • Ensure all staff and volunteers are fully trained to enter notes into assigned platforms
  • Ensure volunteers are scheduled to cover client and staffing needs and their hours are recorded
  • Identify spiritual training opportunities for staff and volunteers
  • Facilitate new staff as needed to onboard new staff members
  • Conduct new volunteer training at least two times per year
  • Conduct weekly Case Management meetings with appropriate staff and as needed for monitoring of client care. Coordinate case management with the Executive Director as needed. 
  • Develops and oversees Raffa Family Services staff as they train new staff and volunteers on policies, documentation, and record keeping, programs, phone and other communication protocols, client intervention protocols (appropriate communication/interaction with clients),  and other pertinent information
  • Develops and oversees continuing education and enrichment. This includes informing/educating all staff regarding relevant developments in community, government, education, changing client demographics and needs, changes in programs and policies, social service agencies affecting our services to clients, and providing opportunities for professional and personal growth
  • Evaluates training programs and current client services for the purpose of developing and updating training programs, processes procedures as appropriate
  • Oversees the development of and maintenance of training materials (including volunteer handbook).
  • Oversees the orders of client educational materials and office supplies.


Statistics:

  • Ensure accuracy of statistical data and reports by staff are correct and completed in a timely manner, including KPI and applicable grant reports
  • Review statistics weekly and ensure timely delivery of reports
  • Collect and report monthly program reports by the 5th of the month to the Executive Director
  • Report a minimum of one client story per month to the Executive Director


Compliance:

  • Ensure compliance with Community Partner Program requirements
  • Ensure staff are fully trained to complete charting requirements and data collection
  • Ensure safety of all clients, staff, volunteers, and guests in an emergency situation
  • Ensure full compliance with Policies & Procedures at all times
  • Incorporate Policy and Procedure changes into programs
  • Review Raffa Family Services budget with Executive Director
  • Ensure current referral list to be used by all Raffa programs
  • Ensure child abuse/neglect is reported timely for all clients seen
  • Report all court issued subpoenas or request for records to the Executive Director immediately when received
  • Monitor documentation  compliance
  • Oversee Case Management program services for Raffa Family Center


Education:

  • Establish approved parenting and life skills education classes
  • Recruit clients and their support system for educational classes
  • Recruit Class Instructors for all educational classes
  • Develop student incentives to participation in educational program
  • Provide media/print resources for instructors 
  • Establish classroom process for points system
  • Ensure class attendance is recorded in appropriate platform
  • At all times, be a Raffa Ambassador in the community


This is an exempt position. However, hours worked must be logged into the Quickbooks  app. Hours are calculated from Monday to Sunday.
